1. Introduction and Acceptance
Welcome to Hubbl! These Terms of Service ("Terms") govern your access to and use of the Hubbl platform, including our mobile application and web dashboard (collectively, the "Services").
By creating an account, accessing, or using the Services, you agree to be bound by these Terms and our Privacy Policy. If you do not agree to these Terms, you may not use the Services.
1.1 Who We Are
Hubbl is operated by Hubbl ApS, a company registered in Denmark ("Hubbl," "we," "us," or "our"). We provide workplace engagement services to companies ("Organizations") to foster social connections and enhance employee well-being.
1.2 Who These Terms Apply To
These Terms apply to you as an individual user ("you" or "User") who accesses the Services as an employee, contractor, or authorized representative of an Organization that has subscribed to Hubbl's services.
1.3 Relationship with Organization Terms
Your Organization has a separate agreement with Hubbl. These Terms govern your individual use of the Services, while your Organization's agreement governs the commercial relationship between your Organization and Hubbl.
2. Eligibility and Account Requirements
2.1 Age and Capacity
You must be at least 18 years of age to use the Services. By using the Services, you represent that you meet this age requirement and have the legal capacity to enter into these Terms.
2.2 Employment or Authorization
You may only use the Services if you are:
- An employee, contractor, or authorized representative of an Organization that has an active subscription with Hubbl
- Authorized by your Organization to access and use the Services
- Using a valid work email address or authenticating through your Organization's SSO system
2.3 Account Registration
To use the Services, you must create an account by providing:
- Your full name
- Work email address
- Job title and department information
- Password (if not using SSO)
- Other information as required by your Organization
You may authenticate using:
- Email and password
- Google Sign-In (using your work Google account)
- Enterprise Single Sign-On (SSO) if enabled by your Organization
2.4 Account Accuracy
You must provide accurate, current, and complete information during registration and keep your account information up to date. You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account.
2.5 One Account Per Person
You may only maintain one account and may not share your account credentials with anyone else. Each account is personal to you and non-transferable.
3. Scope of Services and License
3.1 What Hubbl Provides
Hubbl provides a platform for workplace social engagement, including:
- Social Breaks: 1-on-1 connections with colleagues
- Hubbl Groups: Planned group activities
- Hubbl Events: Company-wide events with registration and management
- Hubbl Announcements: Company communications
- Interest-based Matching: Connect with colleagues based on shared interests
- Calendar Integration: Sync with Google Calendar, Microsoft Outlook, and other calendar services
- Gamification Features: Leaderboards, rankings, and engagement tracking
3.2 Limited License
Subject to your compliance with these Terms, Hubbl grants you a limited, non-exclusive, non-transferable, revocable license to access and use the Services solely for your personal use in connection with your employment or relationship with your Organization.
3.3 Company Spaces
The Services are organized into company-specific "Spaces." Your access is limited to the Space associated with your Organization. You can only view and interact with colleagues within your Organization's Space.
3.4 Organizational Structure
Your Organization may have a hierarchical structure including:
- Locations: Office locations or geographical sites
- Sub-companies: Business units or subsidiaries
- Departments: Organizational departments
Your visibility and access to certain features may be filtered based on this organizational structure as configured by your Organization.
3.5 Service Availability
Hubbl does not guarantee that the Services will be available at all times. The Services may be temporarily unavailable due to maintenance, updates, or circumstances beyond our control.
4. User Obligations and Acceptable Use
4.1 Professional Conduct
You agree to use the Services in a professional and respectful manner. You must not:
a) Harassment and Discrimination
- Harass, bully, intimidate, or threaten other Users
- Engage in discriminatory behavior based on race, ethnicity, national origin, religion, gender, sexual orientation, disability, age, or any other protected characteristic
- Create a hostile or unwelcoming environment for colleagues
b) Inappropriate Content
- Post, upload, or share content that is offensive, vulgar, obscene, defamatory, or sexually explicit
- Share violent, graphic, or disturbing content
- Use profanity or inappropriate language in profiles, messages, event descriptions, or other communications
c) Respect and Privacy
- Respect the privacy and boundaries of other Users
- Do not share private or confidential information about colleagues without their consent
- Respect declined invitations and Users' decisions not to participate in activities
4.2 Account Security
You are responsible for:
- Maintaining the confidentiality of your password and login credentials
- Not sharing your account with others
- Logging out from shared or public devices
- Notifying Hubbl immediately if you suspect unauthorized access to your account
- All activities that occur under your account
You acknowledge that you are solely responsible for any breach of security or unauthorized use of your account.
4.3 Authorized Use Only
You may only use the Services:
- For work-related social engagement and connection activities
- While you remain employed or authorized by your Organization
- Within your Organization's Space (you cannot access other Organizations' Spaces)
- In compliance with your Organization's policies and guidelines
4.4 Platform Integrity
You must not:
a) Technical Restrictions
- Reverse engineer, decompile, or disassemble any part of the Services
- Use automated tools (bots, scrapers, crawlers) to access or collect data from the Services
- Attempt to gain unauthorized access to the Services or other Users' accounts
- Bypass security measures or access restrictions
- Interfere with or disrupt the Services or servers
b) Data Misuse
- Export, download, or collect colleague data for purposes other than social engagement within the platform
- Use colleague information for marketing, sales, recruitment, or other commercial purposes
- Create databases or directories of colleague information
- Share colleague contact information outside the platform without their explicit consent
c) Spam and Abuse
- Send unsolicited or mass invitations to colleagues
- Spam event invitations or messages
- Create duplicate or fake accounts
- Impersonate other Users or misrepresent your identity
d) Content Restrictions
- Upload malware, viruses, or malicious code
- Post content that infringes intellectual property rights
- Share illegal content or content that violates applicable laws
4.5 Calendar Integration
If you enable calendar integration:
- You are responsible for managing calendar permissions and access
- You authorize Hubbl to access and sync calendar data as described in our Privacy Policy
- You can disconnect calendar integration at any time through your account settings
- You are responsible for any calendar events created by the Services
4.6 Event and Activity Participation
When participating in events and activities:
- RSVP accurately and honor your commitments when possible
- Provide timely notice if you need to cancel or decline
- Participate in good faith and respect other participants
- Follow any additional guidelines provided by event organizers
- Complete any required pre-event or post-event questionnaires honestly
4.7 Compliance with Laws
You must use the Services in compliance with all applicable laws and regulations, including but not limited to:
- Employment laws
- Anti-discrimination laws
- Data protection laws (including GDPR)
- Workplace safety regulations
5. Content and Intellectual Property
5.1 Your Content
You retain ownership of any content you create, post, upload, or share through the Services ("User Content"), including:
- Profile information and photos
- Messages and chat content
- Event descriptions and comments
- Feedback and survey responses
5.2 License to Your Content
By posting User Content, you grant Hubbl a worldwide, non-exclusive, royalty-free license to use, reproduce, store, modify, and display your User Content solely to:
- Provide and operate the Services
- Display your content to colleagues within your Organization's Space
- Generate anonymized analytics and insights
- Improve the Services
This license terminates when you delete your content or your account, except for content that has been shared with or archived by your Organization.
5.3 Content Responsibility
You are solely responsible for your User Content. You represent and warrant that:
- You own or have the necessary rights to share your User Content
- Your User Content does not violate these Terms or applicable laws
- Your User Content does not infringe the intellectual property, privacy, or other rights of third parties
Hubbl does not review, approve, or endorse User Content. We are not responsible for the accuracy, appropriateness, or legality of User Content posted by Users.
5.4 No Content Moderation
Hubbl does not actively monitor or moderate User Content within your Organization's Space. Your Organization is responsible for:
- Monitoring User Content and activity within its Space
- Enforcing workplace policies and codes of conduct
- Addressing inappropriate behavior or content violations
- Investigating and resolving disputes between Users
If you encounter content that violates these Terms or your Organization's policies, you should report it to your Organization's administrator.
5.5 Hubbl's Intellectual Property
The Services, including all software, technology, designs, trademarks, logos, and other materials, are owned by Hubbl or our licensors and are protected by intellectual property laws.
You may not:
- Copy, modify, or create derivative works of the Services
- Remove or obscure copyright, trademark, or other proprietary notices
- Use Hubbl's name, logo, or trademarks without written permission
- Reverse engineer or attempt to derive source code from the Services
5.6 Feedback
If you provide suggestions, ideas, or feedback about the Services ("Feedback"), you grant Hubbl a perpetual, irrevocable, worldwide, royalty-free license to use, implement, and incorporate such Feedback into our Services without attribution or compensation.
6. Privacy and Data Protection
6.1 Privacy Policy
Your privacy is important to us. Our collection, use, and protection of your personal data is governed by our Privacy Policy, which is incorporated into these Terms by reference.
Please review our Privacy Policy to understand:
- What personal data we collect
- How we use and process your data
- Your rights under GDPR and applicable data protection laws
- How we protect your information
6.2 Data Sharing Within Your Organization
By using the Services, you acknowledge and agree that:
- Your profile information, activity data, and participation in events may be visible to colleagues within your Organization's Space
- Your Organization's administrators can view analytics and engagement metrics
- Your Organization may export certain data related to your use of the Services
- Your participation in events, activities, and social breaks may be visible to other participants
6.3 Organizational Structure Data
If your Organization uses SSO, additional organizational data may be synced from your Organization's identity provider, including:
- Office location
- Department and sub-company information
- Job title and employee hire date
- Other metadata provided by your Organization's SSO system
6.4 Third-Party Integrations
The Services may integrate with third-party services such as:
- Google Calendar
- Microsoft Outlook
- Enterprise SSO providers (via Scalekit)
- Other calendar and communication tools
Your use of these third-party services is subject to their respective terms and privacy policies. Hubbl is not responsible for the practices of third-party service providers.
6.5 Data Processing
Data Controller vs. Processor:
- Your Organization is the data controller for data related to employees and workplace activities
- Hubbl is the data processor, processing personal data on behalf of your Organization
- You are providing your personal data to your Organization through the Hubbl platform
For questions about how your Organization uses your data, contact your Organization's privacy officer or HR department.
7. Account Termination and Data Deletion
7.1 Termination by You
You may stop using the Services at any time. To delete your account, you can:
- Use the account deletion function within the app settings
- Contact your Organization's administrator
- Email us at emil@hubbl.co
7.2 Termination by Your Organization
Your Organization may suspend or terminate your access to the Services at any time, including when:
- Your employment or relationship with the Organization ends
- Your Organization terminates its subscription with Hubbl
- You violate your Organization's policies
7.3 Termination by Hubbl
Hubbl may suspend or terminate your access to the Services if:
- You violate these Terms
- You engage in conduct that poses security risks to the Services or other Users
- Your Organization's subscription ends or is suspended
- Required by law or governmental authority
7.4 Effect of Termination
Upon termination of your account:
- Your access to the Services will be immediately revoked
- You will no longer be able to access your User Content within the Services
- Your profile will be removed from your Organization's Space
- Other Users will no longer be able to view your profile or interact with you
7.5 Data Deletion
If your Organization uses SSO (Single Sign-On):
- Your personal data will be automatically deleted when your account is deactivated in your Organization's identity provider system
- Deletion occurs promptly following deactivation, typically within 24-48 hours
- Your Organization controls the timing of account deactivation
If your Organization does not use SSO:
- Data deletion is a manual process
- You or your Organization's administrator must request data deletion
- To request deletion, contact your Organization's administrator or email us at emil@hubbl.co
- We will process deletion requests within 30 days of receipt
Data Retention Exceptions:
- We may retain anonymized, aggregated data for analytics purposes
- We may retain certain data as required by law or for legitimate business purposes (e.g., financial records, legal compliance)
- Data included in backups may persist for a limited period but will not be actively accessible
- Your Organization may retain exported data according to their own data retention policies
7.6 Export Your Data
You may request a copy of your personal data at any time by:
- Using the data export function within the Services (if available)
- Contacting your Organization's administrator
- Emailing us at emil@hubbl.co
We will provide your data in a commonly used, machine-readable format within 30 days of your request.
8. Disclaimers and Limitations of Liability
8.1 Service "As Is"
THE SERVICES ARE PROVIDED ON AN "AS IS" AND "AS AVAILABLE" BASIS WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT.
Hubbl does not warrant that:
- The Services will meet your specific requirements
- The Services will be uninterrupted, timely, secure, or error-free
- Any errors or defects will be corrected
- The Services will be compatible with all devices or software
- The results obtained from using the Services will be accurate or reliable
8.2 Third-Party Services
Hubbl is not responsible for:
- The availability, accuracy, or reliability of third-party services (calendar integrations, SSO providers, etc.)
- Any loss or damage resulting from third-party service failures
- The content, privacy practices, or conduct of third parties
8.3 User Content Disclaimer
Hubbl does not endorse, control, or assume responsibility for:
- User Content posted by any User
- Interactions between Users
- Events, activities, or social gatherings organized by Users
- Advice, opinions, statements, or other content provided by Users
You use the Services and interact with other Users at your own risk.
8.4 No Liability for Workplace Matters
Hubbl is not responsible for and does not control:
- Workplace disputes or conflicts between Users
- Employment-related matters between you and your Organization
- Your Organization's workplace policies or enforcement thereof
- Compliance with employment laws or workplace regulations
- Health and safety matters related to workplace activities
8.5 Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, HUBBL SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO:
- Loss of profits, revenue, or business opportunities
- Loss of data or information
- Business interruption
- Loss of goodwill or reputation
- Personal injury or emotional distress
This limitation applies regardless of the legal theory (contract, tort, negligence, strict liability, or otherwise) and whether or not Hubbl has been advised of the possibility of such damages.
IN NO EVENT SHALL HUBBL'S TOTAL AGGREGATE LIABILITY ARISING OUT OF OR RELATED TO THESE TERMS OR THE SERVICES EXCEED €100 (ONE HUNDRED EUROS).
8.6 Basis of Bargain
You acknowledge that the disclaimers and limitations of liability in this Section 8 are fundamental elements of the agreement between you and Hubbl, and that Hubbl would not provide the Services to you without these limitations.
8.7 Exceptions
Some jurisdictions do not allow the exclusion of certain warranties or limitations of liability. In such jurisdictions, the above limitations and exclusions shall apply to the maximum extent permitted by law.
9. Indemnification
You agree to indemnify, defend, and hold harmless Hubbl, its affiliates, officers, directors, employees, agents, and licensors from and against any claims, liabilities, damages, losses, costs, or expenses (including reasonable attorneys' fees) arising out of or related to:
- Your violation of these Terms
- Your violation of any applicable law or regulation
- Your User Content or any content you post or share through the Services
- Your infringement or violation of any rights of third parties, including intellectual property, privacy, or publicity rights
- Your use or misuse of the Services
- Your interactions with other Users
- Your violation of your Organization's policies
Hubbl reserves the right to assume the exclusive defense and control of any matter subject to indemnification by you, in which case you agree to cooperate with Hubbl's defense of such claim.
10. Changes to Services and Terms
10.1 Service Updates
Hubbl may modify, update, or discontinue any aspect of the Services at any time, with or without notice, including:
- Adding or removing features
- Changing user interfaces
- Updating integrations
- Modifying functionality
We will make reasonable efforts to notify you of material changes that significantly affect your use of the Services.
10.2 Changes to These Terms
Hubbl may update these Terms from time to time. If we make material changes, we will notify you by:
- Posting a notice within the Services
- Sending an email to your registered email address
- Displaying a notification when you log in
The updated Terms will indicate the "Last Updated" date at the top. Your continued use of the Services after the effective date of the updated Terms constitutes your acceptance of the changes.
If you do not agree to the updated Terms, you must stop using the Services and may delete your account.
11. General Provisions
11.1 Governing Law and Jurisdiction
These Terms shall be governed by and construed in accordance with the laws of Denmark, excluding its conflicts of law principles and the United Nations Convention on Contracts for the International Sale of Goods (CISG).
Any dispute arising out of or relating to these Terms or the Services shall be subject to the exclusive jurisdiction of the courts of Copenhagen, Denmark.
11.2 Dispute Resolution
Before initiating any legal proceedings, you agree to first attempt to resolve any dispute with Hubbl informally by contacting us at emil@hubbl.co. We will make reasonable efforts to resolve the matter through good faith negotiations.
11.3 Entire Agreement
These Terms, together with our Privacy Policy and any other policies or guidelines referenced herein, constitute the entire agreement between you and Hubbl regarding the Services and supersede all prior or contemporaneous understandings and agreements, whether written or oral.
11.4 Severability
If any provision of these Terms is found to be invalid, illegal, or unenforceable by a court of competent jurisdiction, the remaining provisions shall continue in full force and effect. The invalid provision shall be modified to the minimum extent necessary to make it valid and enforceable while preserving its intent.
11.5 Waiver
No waiver of any provision of these Terms shall be deemed a further or continuing waiver of such provision or any other provision. Hubbl's failure to enforce any right or provision of these Terms shall not constitute a waiver of such right or provision.
11.6 Assignment
You may not assign, transfer, or delegate your rights or obligations under these Terms without Hubbl's prior written consent. Hubbl may assign these Terms at any time without notice, including in connection with a merger, acquisition, or sale of assets.
11.7 No Third-Party Beneficiaries
These Terms are for the sole benefit of you and Hubbl and do not create any third-party beneficiary rights, except that your Organization may enforce provisions related to its rights and interests.
11.8 Relationship
Nothing in these Terms creates any partnership, joint venture, agency, or employment relationship between you and Hubbl. You are using the Services as an individual user, and these Terms do not affect your employment or contractual relationship with your Organization.
11.9 Survival
Sections that by their nature should survive termination shall survive, including but not limited to: Content and Intellectual Property, Privacy and Data Protection, Disclaimers and Limitations of Liability, Indemnification, and General Provisions.
11.10 Language
These Terms are executed in the English language. If these Terms are translated into any other language, the English language version shall prevail in the event of any conflict or inconsistency.
11.11 Force Majeure
Hubbl shall not be liable for any failure or delay in performing its obligations under these Terms due to circumstances beyond its reasonable control, including but not limited to acts of God, natural disasters, war, terrorism, labor disputes, pandemics, government actions, or failures of internet or telecommunications infrastructure.
11.12 Export Compliance
You represent that you are not located in, organized under the laws of, or ordinarily resident in a country or territory that is the target of comprehensive sanctions, and you are not on any list of prohibited or restricted parties. You will comply with all applicable export and import laws and regulations.
11.13 Electronic Communications
By using the Services, you consent to receive electronic communications from Hubbl, including via email, push notifications, and in-app messages. These communications may include notices about your account, service updates, and other transactional or relationship messages.
You agree that all agreements, notices, disclosures, and other communications that we provide to you electronically satisfy any legal requirement that such communications be in writing.

13. Acknowledgment and Acceptance
BY CLICKING "ACCEPT," "I AGREE," OR BY ACCESSING OR USING THE SERVICES, YOU ACKNOWLEDGE THAT:
- You have read and understood these Terms
- You agree to be bound by these Terms and our Privacy Policy
- You meet the eligibility requirements set forth in Section 2
- You are authorized by your Organization to use the Services
- You will comply with all provisions of these Terms
IF YOU DO NOT AGREE TO THESE TERMS, DO NOT USE THE SERVICES.
